Waarom een UBL-factuur je meer waard is dan een mooie PDF

Een gescande factuur is een plaatje waar software naar raadt. Een UBL-factuur is data die klopt. Dat verschil bepaalt of je crediteurenproces geld kost of vanzelf loopt.

Zo gaat het bij de meeste bedrijven: de leveranciersfactuur komt binnen als PDF of op papier, en iemand tikt de bedragen over in het grootboek. Of er staat een OCR-tool tussen die de velden probeert te herkennen.

Het probleem met OCR is fundamenteel: het is een kansberekening. De software gokt wat er staat. Bij een bekende lay-out gaat dat vaak goed, bij een nieuwe leverancier of een net iets ander sjabloon leest hij het factuurnummer als een datum, of mist een regel. Elke gok moet iemand controleren. En elke nieuwe indeling breekt de herkenning opnieuw.

Wat UBL 2.0 eigenlijk is

UBL (Universal Business Language) 2.0 is de OASIS-standaard voor gestructureerde zakelijke documenten. Het is de basis onder de Europese e-factureringsnorm EN 16931 en onder het Peppol-netwerk waarover die facturen worden uitgewisseld.

Een UBL-factuur is geen afbeelding van een factuur. Het is machineleesbare XML waarin elk veld expliciet is gelabeld: de leverancier, het BTW-nummer, de factuurregels, aantallen, BTW-tarieven, totalen en betaaltermijnen. Er valt niets te raden, want alles staat er benoemd in.

Waarom structuur wint van scan

Het verschil tussen een gestructureerde factuur en een gescande zit niet in de opmaak, maar in de zekerheid:

  • Geen OCR-gokwerk: elk veld wordt exact ingelezen zoals de leverancier het heeft verzonden, niet herkend maar gewoon uitgelezen.
  • Volledig regelniveau: je krijgt elke factuurregel, niet alleen het eindtotaal, dus je ziet wat je precies inkoopt.
  • BTW die klopt per regel: elk tarief staat apart benoemd, geen samengeklonterd percentage dat je later moet uitpluizen.
  • Totalen en vervaldatums: direct bruikbaar voor afletteren en cashflowsturing, zonder overtypen.
  • Validatie tegen de standaard: een onvolledige of foutieve factuur wordt bij de voordeur al tegengehouden.

Wat het verderop oplevert

Why a UBL invoice is worth more to you than a tidy PDF

A scanned invoice is a picture that software guesses at. A UBL invoice is data that is simply correct. That difference decides whether your accounts payable process burns money or runs itself.

Here is how it works at most companies: the supplier invoice arrives as a PDF or on paper, and someone types the amounts into the ledger. Or an OCR tool sits in between, trying to recognise the fields.

The problem with OCR is fundamental: it is a probability engine. The software guesses what the invoice says. On a familiar layout that often goes fine; with a new supplier or a slightly different template it reads the invoice number as a date, or misses a line. Every guess needs a human to check it. And every new layout breaks the recognition all over again.

What UBL 2.0 actually is

UBL (Universal Business Language) 2.0 is the OASIS standard for structured business documents. It is the foundation beneath the European e-invoicing norm EN 16931 and beneath the Peppol network over which those invoices are exchanged.

Una factura UBL no es una imagen de una factura. Es XML legible por máquina en el que cada campo está etiquetado de forma explícita: el proveedor, el número de IVA, las líneas de factura, las cantidades, los tipos de IVA, los totales y los plazos de pago. No hay nada que adivinar, porque todo está nombrado.

Por qué lo estructurado gana a lo escaneado

La diferencia entre una factura estructurada y una escaneada no está en el aspecto, sino en la certeza:

  • Sin conjeturas de OCR: cada campo se lee exactamente como lo envió el proveedor, no se reconoce sino que simplemente se lee.
  • Detalle completo por línea: obtiene cada línea de factura, no solo el total, de modo que ve con precisión qué está comprando.
  • IVA correcto por línea: cada tipo aparece nombrado por separado, sin un porcentaje amalgamado que deba desenredar después.
  • Totales y fechas de vencimiento: utilizables de inmediato para la conciliación y la gestión de tesorería, sin volver a teclear.
