Exact Online realtime rapportage: wat kan wel en wat niet

Hoe realtime is Exact Online eigenlijk? Een eerlijke uitleg van wat je grootboek wel en niet weet, waarom je P&L altijd achterloopt en wat je eraan kunt doen.

"We werken met Exact Online, dus onze cijfers zijn actueel."

Half waar. Exact Online is een uitstekend boekhoudpakket en de data zit er netjes in. Maar tussen "de data zit erin" en "ik weet vandaag hoe we ervoor staan" zit een gat dat groter is dan de meeste mensen denken.

Dit artikel legt uit waar dat gat zit, waarom het er is, en wat je eraan kunt doen.

Wat Exact Online wél realtime weet

Zodra iets is geboekt, is het direct beschikbaar. Concreet:

  • Verkoopfacturen die je zelf hebt aangemaakt — direct
  • Bankmutaties — met een dag vertraging, afhankelijk van je bankkoppeling
  • Inkoopfacturen die zijn ingeboekt of gescand — vanaf het moment van boeken
  • Grootboekstanden — direct bijgewerkt na elke boeking

De API van Exact Online is degelijk en ontsluit dit allemaal. Technisch is er niets mis.

Waar het misgaat: geboekt is niet gebeurd

De kern van het probleem: een boekhoudpakket weet iets pas als het is geboekt, niet als het is gebeurd.

Voor sommige posten is dat verschil klein. Voor de posten waar je op stuurt, is het groot:

Omzet uit een kassa- of verkoopsysteem. Vandaag verkocht, morgen of volgende week als dagstaat of verzamelfactuur ingeboekt. Je grootboek loopt dagen tot weken achter op je werkelijke omzet.

Personeelskosten. Dit is de grootste. De salarisjournaalpost gaat er meestal één keer per maand in, achteraf. Je grootboek weet halverwege de maand vrijwel niets over je grootste kostenpost. Terwijl je urenregistratie of rooster het allang weet.

Inkoopfacturen. Goederen zijn geleverd, de factuur ligt nog op de mat of in de goedkeuringsflow. Je kosten zijn gemaakt, je boekhouding kent ze nog niet.

Overlopende posten. Vakantiegeld, reserveringen, afschrijvingen — vaak pas bij de afsluiting.

Het gevolg: als je halverwege de maand naar je P&L in Exact kijkt, zie je een groot deel van je omzet nog niet en vrijwel niets van je personeelskosten. Dat is geen tussenstand, dat is een vertekend beeld. Vaak nog gevaarlijker dan geen beeld, want het ziet er winstgevender uit dan het is.

Waarom je dit niet oplost binnen Exact

De reflex: vaker boeken. Dagstaten dagelijks inboeken, salarisjournaalposten wekelijks, inkoopfacturen sneller verwerken.

Dat helpt, maar:

  • Het is veel meer werk, elke week, voor altijd
  • Het lost personeelskosten niet op — je salarisadministratie draait nu eenmaal per maand
  • Het maakt je grootboek voller met tussenboekingen die je later weer moet corrigeren
  • Je accountant wordt er niet blij van

Belangrijker: het probleem is niet dat Exact iets fout doet. Een boekhoudpakket hoort een grootboek te zijn, geen stuurdashboard. Het is ontworpen om financieel juist te zijn en te voldoen aan verslagleggingseisen — niet om je vanmiddag te vertellen hoe de week loopt. Die twee doelen zijn niet hetzelfde en vragen om een ander ontwerp.

Wat de standaardrapportages wel en niet doen

Exact Online heeft rapportagefunctionaliteit, en er zijn BI-koppelingen naar Power BI en vergelijkbare tools.

Wat dat oplevert: mooiere presentatie, grafieken, trendlijnen, een dashboard voor de directie.

Wat het niet oplevert: actualiteit. Een BI-tool op Exact laat je grootboek er beter uitzien, maar voegt geen informatie toe die er niet in zit. De halve maand personeelskosten die ontbreekt, ontbreekt ook in Power BI — alleen dan in een strakke grafiek.

Dit is de belangrijkste misvatting: een BI-tool is een presentatielaag, geen databron. Als je bron drie weken achterloopt, doet je dashboard dat ook.

Wat wél werkt: meerdere bronnen combineren

De informatie die ontbreekt in je grootboek, bestaat wel degelijk — alleen ergens anders:

Een realtime P&L combineert die bronnen: het grootboek uit Exact als financiële ruggengraat en waarheid voor alles wat definitief is, aangevuld met operationele data voor alles wat nog niet geboekt is.

Concreet betekent dat: omzet komt live uit je kassasysteem, personeelskosten worden dagelijks opgebouwd uit je rooster tegen bekende uurtarieven, en zodra de werkelijke boeking in Exact landt, vervangt die de schatting.

Zo krijg je vandaag een P&L die klopt binnen een paar procent — en aan het eind van de maand eentje die exact aansluit op je grootboek.

Wat je moet weten over de koppeling

Als je hiermee aan de slag gaat, let op:

Read-only. Een stuurdashboard heeft geen schrijfrechten nodig in je boekhouding. Als een leverancier daarom vraagt, vraag waarom.

API-limieten. Exact Online hanteert een limiet op het aantal API-calls per dag. Een goed gebouwde koppeling werkt incrementeel — alleen wijzigingen ophalen — in plaats van elke keer alles.

Kostenplaatsen en dimensies. Als je per vestiging of afdeling wilt sturen, moet je administratie dat ondersteunen. Kostenplaatsen die niet consequent worden gevuld, zijn de meest voorkomende reden dat een uitsplitsing niet werkt. Dit is meestal het echte werk, niet de techniek.

Meerdere administraties. Werk je met meerdere BV's of entiteiten in Exact, controleer dan of consolidatie wordt ondersteund — anders krijg je losse dashboards in plaats van één bedrijfsbeeld.

Aansluiting. Vraag hoe de schatting van vandaag zich verhoudt tot het definitieve cijfer straks. Een dashboard dat structureel afwijkt van je jaarrekening zonder verklaring, is een dashboard dat niemand gaat vertrouwen.

Tot slot

Exact Online doet precies waar het voor gemaakt is: een sluitende, controleerbare administratie voeren. Dat is waardevol en je wilt het niet anders.

Exact Online real-time reporting: what it can and can't do

How real-time is Exact Online, really? An honest explanation of what your general ledger does and doesn't know, why your P&L is always lagging, and what you can do about it.

"We use Exact Online, so our numbers are up to date."

Half true. Exact Online is an excellent accounting package and the data sits in there neatly. But between "the data is in there" and "I know today how we're doing" lies a gap that is bigger than most people think.

This article explains where that gap is, why it exists, and what you can do about it.

What Exact Online does know in real time

As soon as something is booked, it is immediately available. Specifically:

  • Sales invoices you created yourself — immediately
  • Bank transactions — with a day's delay, depending on your bank link
  • Purchase invoices that have been entered or scanned — from the moment they are booked
  • General ledger balances — updated instantly after every booking

Exact Online's API is solid and exposes all of this. Technically, nothing is wrong.

Where it goes wrong: booked is not the same as happened

The heart of the problem: an accounting package only knows about something once it has been booked, not when it happened.

For some items that difference is small. For the items you actually steer on, it is large:

Revenue from a point-of-sale or sales system. Sold today, entered tomorrow or next week as a daily total or aggregated invoice. Your general ledger runs days to weeks behind your actual revenue.

Staff costs. This is the biggest one. The payroll journal entry usually goes in once a month, after the fact. Halfway through the month your general ledger knows almost nothing about your largest cost item — while your time tracking or roster has known for ages.

Purchase invoices. The goods have been delivered, the invoice is still on the doormat or in the approval flow. Your costs have been incurred, your bookkeeping doesn't know them yet.

Accruals and deferrals. Holiday pay, provisions, depreciation — often only at the close.

The result: if you look at your P&L in Exact halfway through the month, you don't yet see a large part of your revenue and almost none of your staff costs. That isn't an interim position, it's a distorted picture. Often even more dangerous than no picture at all, because it looks more profitable than it is.

Why you can't solve this inside Exact

The reflex: book more often. Enter daily totals every day, payroll journal entries weekly, process purchase invoices faster.

That helps, but:

  • It is a lot more work, every week, forever
  • It doesn't solve staff costs — your payroll administration simply runs monthly
  • It clutters your general ledger with interim entries you then have to correct later
  • Your accountant won't be happy about it

More importantly: the problem isn't that Exact does something wrong. An accounting package is meant to be a general ledger, not a steering dashboard. It is designed to be financially accurate and to meet reporting requirements — not to tell you this afternoon how the week is going. Those two goals are not the same and call for a different design.

What the standard reports do and don't do

Exact Online has reporting functionality, and there are BI connections to Power BI and similar tools.

What that delivers: nicer presentation, charts, trend lines, a dashboard for the board.

What it doesn't deliver: timeliness. A BI tool on top of Exact makes your general ledger look better, but adds no information that isn't in there. The half month of staff costs that is missing is also missing in Power BI — just in a slick chart this time.

This is the most important misconception: a BI tool is a presentation layer, not a data source. If your source is three weeks behind, so is your dashboard.

What does work: combining multiple sources

The information missing from your general ledger does exist — just somewhere else:

In concrete terms: revenue comes live from your point-of-sale system, staff costs are built up daily from your roster against known hourly rates, and as soon as the actual booking lands in Exact, it replaces the estimate.

That way you get a P&L today that is accurate to within a few percent — and one at the end of the month that reconciles exactly with your general ledger.

What you need to know about the connection

If you take this on, watch out for:

Read-only. A steering dashboard doesn't need write access to your bookkeeping. If a vendor asks for it, ask why.

API limits. Exact Online applies a limit on the number of API calls per day. A well-built connection works incrementally — fetching only changes — instead of everything every time.

Cost centres and dimensions. If you want to steer per location or department, your administration has to support it. Cost centres that aren't filled in consistently are the most common reason a breakdown doesn't work. This is usually the real work, not the technology.

Multiple administrations. If you work with multiple entities or companies in Exact, check whether consolidation is supported — otherwise you'll get separate dashboards instead of one company-wide picture.

Reconciliation. Ask how today's estimate relates to the final figure later on. A dashboard that structurally deviates from your annual accounts without explanation is a dashboard no one will trust.

In closing

Exact Online does exactly what it was built for: keeping a watertight, auditable administration. That is valuable and you wouldn't want it any other way.

But your general ledger is an archive, not a radar. To steer, you need something that combines the systems where the work happens with the financial truth from Exact.

Verdad a medias. Exact Online es un excelente paquete de contabilidad y los datos están ahí bien ordenados. Pero entre "los datos están dentro" y "hoy sé cómo vamos" hay una brecha mayor de lo que la mayoría piensa.

Este artículo explica dónde está esa brecha, por qué existe y qué puedes hacer al respecto.

Lo que Exact Online sí sabe en tiempo real

En cuanto algo se contabiliza, está disponible de inmediato. En concreto:

  • Facturas de venta que has creado tú mismo — al instante
  • Movimientos bancarios — con un día de retraso, según tu enlace bancario
  • Facturas de compra que se han registrado o escaneado — desde el momento en que se contabilizan
  • Saldos del libro mayor — actualizados al instante tras cada asiento

La API de Exact Online es sólida y expone todo esto. Técnicamente, no hay nada malo.

Dónde falla: contabilizado no es lo mismo que ocurrido

El núcleo del problema: un paquete de contabilidad solo sabe de algo cuando se ha contabilizado, no cuando ha ocurrido.

Para algunas partidas esa diferencia es pequeña. Para las partidas que realmente diriges, es grande:

Ingresos de un sistema de caja o de venta. Vendido hoy, registrado mañana o la semana que viene como resumen diario o factura agrupada. Tu libro mayor va días o semanas por detrás de tus ingresos reales.

Costes de personal. Este es el mayor. El asiento de nóminas suele entrar una vez al mes, a posteriori. A mitad de mes tu libro mayor no sabe casi nada de tu mayor partida de costes, mientras que tu registro de horas o tu cuadrante ya lo sabe desde hace tiempo.

Facturas de compra. La mercancía se ha entregado, la factura sigue en el buzón o en el flujo de aprobación. Tus costes ya se han producido, tu contabilidad aún no los conoce.

Periodificaciones. Paga extra, provisiones, amortizaciones — a menudo solo en el cierre.

El resultado: si a mitad de mes miras tu P&L en Exact, todavía no ves gran parte de tus ingresos y prácticamente nada de tus costes de personal. Eso no es un estado provisional, es una imagen distorsionada. A menudo incluso más peligrosa que no tener ninguna imagen, porque parece más rentable de lo que es.

Por qué esto no se resuelve dentro de Exact

El acto reflejo: contabilizar más a menudo. Registrar los resúmenes diarios cada día, los asientos de nóminas cada semana, procesar las facturas de compra más rápido.

Eso ayuda, pero:

  • Es mucho más trabajo, cada semana, para siempre
  • No resuelve los costes de personal — tu administración de nóminas funciona por meses, sin más
  • Llena tu libro mayor de asientos provisionales que luego tendrás que corregir
  • Tu asesor contable no se pondrá contento con ello

Más importante aún: el problema no es que Exact haga algo mal. Un paquete de contabilidad debe ser un libro mayor, no un panel de control de gestión. Está diseñado para ser financieramente correcto y cumplir los requisitos de información — no para decirte esta tarde cómo va la semana. Esos dos objetivos no son lo mismo y exigen un diseño distinto.

Lo que los informes estándar hacen y lo que no

Exact Online tiene funcionalidad de informes, y existen conexiones de BI a Power BI y herramientas similares.

Lo que eso aporta: una presentación más atractiva, gráficos, líneas de tendencia, un panel para la dirección.

Lo que no aporta: actualidad. Una herramienta de BI sobre Exact hace que tu libro mayor se vea mejor, pero no añade información que no esté dentro. El medio mes de costes de personal que falta, también falta en Power BI — solo que esta vez en un gráfico pulido.

Este es el malentendido más importante: una herramienta de BI es una capa de presentación, no una fuente de datos. Si tu fuente va tres semanas por detrás, tu panel también.

Lo que sí funciona: combinar varias fuentes

La información que falta en tu libro mayor sí existe — solo que en otro sitio:

Un P&L en tiempo real combina esas fuentes: el libro mayor de Exact como columna vertebral financiera y fuente de verdad para todo lo que es definitivo, complementado con datos operativos para todo lo que aún no se ha contabilizado.

En concreto, eso significa: los ingresos llegan en vivo desde tu sistema de caja, los costes de personal se van acumulando a diario a partir de tu cuadrante con tarifas por hora conocidas, y en cuanto el asiento real aterriza en Exact, este sustituye a la estimación.

Así obtienes hoy un P&L que es correcto con un margen de pocos puntos porcentuales — y a fin de mes uno que cuadra exactamente con tu libro mayor.

Lo que debes saber sobre la conexión

Si te pones con esto, ten en cuenta:

Solo lectura. Un panel de gestión no necesita permisos de escritura en tu contabilidad. Si un proveedor los pide, pregunta por qué.

Límites de la API. Exact Online aplica un límite en el número de llamadas a la API por día. Una conexión bien construida funciona de forma incremental — obteniendo solo los cambios — en lugar de todo cada vez.

Centros de coste y dimensiones. Si quieres dirigir por sede o departamento, tu administración tiene que soportarlo. Los centros de coste que no se rellenan de forma coherente son el motivo más frecuente de que un desglose no funcione. Este suele ser el trabajo de verdad, no la técnica.

Varias administraciones. Si trabajas con varias sociedades o entidades en Exact, comprueba si se admite la consolidación — de lo contrario tendrás paneles sueltos en vez de una única imagen de la empresa.

Cuadre. Pregunta cómo se relaciona la estimación de hoy con la cifra definitiva de después. Un panel que se desvía de forma estructural de tus cuentas anuales sin explicación es un panel en el que nadie va a confiar.

Para terminar

Exact Online hace exactamente aquello para lo que fue creado: llevar una administración cuadrada y auditable. Eso es valioso y no lo querrías de otra manera.

Pero tu libro mayor es un archivo, no un radar. Para dirigir necesitas algo que combine los sistemas donde se hace el trabajo con la verdad financiera de Exact.

Halb wahr. Exact Online ist ein hervorragendes Buchhaltungspaket und die Daten stecken sauber darin. Aber zwischen "die Daten sind drin" und "ich weiß heute, wie wir dastehen" liegt eine Lücke, die größer ist, als die meisten denken.

Dieser Artikel erklärt, wo diese Lücke sitzt, warum es sie gibt und was du dagegen tun kannst.

Was Exact Online tatsächlich in Echtzeit weiß

Sobald etwas gebucht ist, ist es sofort verfügbar. Konkret:

  • Verkaufsrechnungen, die du selbst erstellt hast — sofort
  • Bankbewegungen — mit einem Tag Verzögerung, je nach deiner Bankanbindung
  • Eingangsrechnungen, die erfasst oder gescannt wurden — ab dem Moment der Buchung
  • Hauptbuchsalden — nach jeder Buchung sofort aktualisiert

Die API von Exact Online ist solide und stellt all das bereit. Technisch ist nichts falsch.

Wo es schiefgeht: gebucht ist nicht gleich passiert

Der Kern des Problems: ein Buchhaltungspaket weiß von etwas erst, wenn es gebucht ist, nicht wenn es passiert ist.

Bei manchen Posten ist dieser Unterschied klein. Bei den Posten, nach denen du steuerst, ist er groß:

Umsatz aus einem Kassen- oder Verkaufssystem. Heute verkauft, morgen oder nächste Woche als Tagesabschluss oder Sammelrechnung erfasst. Dein Hauptbuch hinkt deinem tatsächlichen Umsatz Tage bis Wochen hinterher.

Personalkosten. Das ist der größte Posten. Der Lohnbuchungssatz kommt meist einmal im Monat hinein, im Nachhinein. Mitte des Monats weiß dein Hauptbuch so gut wie nichts über deinen größten Kostenblock — während deine Zeiterfassung oder dein Dienstplan es längst weiß.

Eingangsrechnungen. Die Ware ist geliefert, die Rechnung liegt noch im Briefkasten oder im Freigabeprozess. Deine Kosten sind entstanden, deine Buchhaltung kennt sie noch nicht.

Rechnungsabgrenzungsposten. Urlaubsgeld, Rückstellungen, Abschreibungen — oft erst beim Abschluss.

Die Folge: Wenn du Mitte des Monats auf deine P&L in Exact schaust, siehst du einen großen Teil deines Umsatzes noch nicht und von deinen Personalkosten so gut wie nichts. Das ist kein Zwischenstand, das ist ein verzerrtes Bild. Oft sogar gefährlicher als gar kein Bild, denn es sieht profitabler aus, als es ist.

Warum du das nicht innerhalb von Exact löst

Der Reflex: öfter buchen. Tagesabschlüsse täglich erfassen, Lohnbuchungssätze wöchentlich, Eingangsrechnungen schneller verarbeiten.

Das hilft, aber:

  • Es ist viel mehr Arbeit, jede Woche, für immer
  • Es löst die Personalkosten nicht — deine Lohnabrechnung läuft nun einmal monatlich
  • Es füllt dein Hauptbuch mit Zwischenbuchungen, die du später wieder korrigieren musst
  • Dein Steuerberater wird davon nicht begeistert sein

Wichtiger noch: Das Problem ist nicht, dass Exact etwas falsch macht. Ein Buchhaltungspaket soll ein Hauptbuch sein, kein Steuerungsdashboard. Es ist darauf ausgelegt, finanziell korrekt zu sein und Berichtspflichten zu erfüllen — nicht, dir heute Nachmittag zu sagen, wie die Woche läuft. Diese beiden Ziele sind nicht dasselbe und verlangen nach einem anderen Design.

Was die Standardberichte leisten und was nicht

Exact Online verfügt über Reporting-Funktionen, und es gibt BI-Anbindungen an Power BI und vergleichbare Tools.

Was das bringt: eine schönere Darstellung, Diagramme, Trendlinien, ein Dashboard für die Geschäftsleitung.

Was es nicht bringt: Aktualität. Ein BI-Tool auf Exact lässt dein Hauptbuch besser aussehen, fügt aber keine Information hinzu, die nicht drinsteckt. Der halbe Monat Personalkosten, der fehlt, fehlt auch in Power BI — nur eben in einem schicken Diagramm.

Das ist der wichtigste Irrtum: ein BI-Tool ist eine Darstellungsebene, keine Datenquelle. Wenn deine Quelle drei Wochen hinterherhinkt, tut es dein Dashboard auch.

Was tatsächlich funktioniert: mehrere Quellen kombinieren

Die Information, die in deinem Hauptbuch fehlt, existiert sehr wohl — nur woanders:

Eine Echtzeit-P&L kombiniert diese Quellen: das Hauptbuch aus Exact als finanzielles Rückgrat und Wahrheit für alles, was endgültig ist, ergänzt um operative Daten für alles, was noch nicht gebucht ist.

Konkret heißt das: Der Umsatz kommt live aus deinem Kassensystem, die Personalkosten werden täglich aus deinem Dienstplan zu bekannten Stundensätzen aufgebaut, und sobald die tatsächliche Buchung in Exact landet, ersetzt sie die Schätzung.

So bekommst du heute eine P&L, die auf ein paar Prozent genau stimmt — und am Monatsende eine, die exakt mit deinem Hauptbuch übereinstimmt.

Was du über die Anbindung wissen musst

Wenn du das angehst, achte auf:

Read-only. Ein Steuerungsdashboard braucht keine Schreibrechte in deiner Buchhaltung. Wenn ein Anbieter danach fragt, frag warum.

API-Limits. Exact Online setzt ein Limit für die Anzahl der API-Aufrufe pro Tag. Eine gut gebaute Anbindung arbeitet inkrementell — holt nur Änderungen — statt jedes Mal alles.

Kostenstellen und Dimensionen. Wenn du je Standort oder Abteilung steuern willst, muss deine Buchhaltung das unterstützen. Kostenstellen, die nicht konsequent gefüllt werden, sind der häufigste Grund, warum eine Aufschlüsselung nicht funktioniert. Das ist meist die eigentliche Arbeit, nicht die Technik.

Mehrere Mandanten. Arbeitest du mit mehreren Gesellschaften oder Einheiten in Exact, prüfe, ob eine Konsolidierung unterstützt wird — sonst bekommst du einzelne Dashboards statt eines Gesamtbilds des Unternehmens.

Reporting en temps réel avec Exact Online : ce qui est possible et ce qui ne l'est pas

À quel point Exact Online est-il vraiment en temps réel ? Une explication honnête de ce que votre grand livre sait et ne sait pas, pourquoi votre P&L est toujours en retard et ce que vous pouvez y faire.

"Nous travaillons avec Exact Online, donc nos chiffres sont à jour."

À moitié vrai. Exact Online est un excellent logiciel de comptabilité et les données y sont bien rangées. Mais entre "les données y sont" et "je sais aujourd'hui où nous en sommes" se creuse un écart plus grand que la plupart des gens ne le pensent.

Cet article explique où se situe cet écart, pourquoi il existe et ce que vous pouvez y faire.

Ce qu'Exact Online sait réellement en temps réel

Dès qu'une écriture est comptabilisée, elle est immédiatement disponible. Concrètement :

  • Les factures de vente que vous avez créées vous-même — immédiatement
  • Les mouvements bancaires — avec un jour de décalage, selon votre lien bancaire
  • Les factures d'achat saisies ou scannées — dès le moment de la comptabilisation
  • Les soldes du grand livre — mis à jour instantanément après chaque écriture

L'API d'Exact Online est solide et expose tout cela. Techniquement, rien à redire.

Là où ça coince : comptabilisé n'est pas arrivé

Le cœur du problème : un logiciel de comptabilité ne connaît une opération qu'une fois qu'elle est comptabilisée, pas au moment où elle a lieu.

Pour certains postes, cet écart est faible. Pour les postes que vous pilotez, il est grand :

Le chiffre d'affaires issu d'une caisse ou d'un système de vente. Vendu aujourd'hui, saisi demain ou la semaine prochaine sous forme de relevé journalier ou de facture globale. Votre grand livre a des jours, voire des semaines de retard sur votre chiffre d'affaires réel.

Les frais de personnel. C'est le plus important. L'écriture de paie n'entre en général qu'une fois par mois, a posteriori. À la mi-mois, votre grand livre ne sait quasiment rien de votre plus gros poste de coûts — alors que votre suivi des heures ou votre planning le sait depuis longtemps.

Les factures d'achat. Les marchandises sont livrées, la facture est encore dans la boîte aux lettres ou dans le circuit de validation. Vos coûts sont engagés, votre comptabilité ne les connaît pas encore.

Les charges à répartir. Prime de congés, provisions, amortissements — souvent seulement à la clôture.

Résultat : si vous regardez votre P&L dans Exact à la mi-mois, vous ne voyez pas encore une grande partie de votre chiffre d'affaires et quasiment rien de vos frais de personnel. Ce n'est pas un point d'étape, c'est une image faussée. Souvent même plus dangereuse qu'aucune image, car cela paraît plus rentable que ce ne l'est réellement.

Pourquoi vous ne réglez pas cela dans Exact

Le réflexe : comptabiliser plus souvent. Saisir les relevés journaliers chaque jour, les écritures de paie chaque semaine, traiter les factures d'achat plus vite.

Cela aide, mais :

  • C'est beaucoup plus de travail, chaque semaine, pour toujours
  • Cela ne règle pas les frais de personnel — votre gestion de la paie tourne au mois, un point c'est tout
  • Cela encombre votre grand livre d'écritures intermédiaires qu'il faudra ensuite corriger
  • Votre expert-comptable n'en sera pas ravi

Plus important encore : le problème n'est pas qu'Exact fasse quelque chose de mal. Un logiciel de comptabilité doit être un grand livre, pas un tableau de bord de pilotage. Il est conçu pour être financièrement exact et répondre aux obligations de reporting — pas pour vous dire cet après-midi comment se passe la semaine. Ces deux objectifs ne sont pas les mêmes et appellent une conception différente.

Ce que les rapports standard font et ne font pas

Exact Online dispose de fonctions de reporting, et il existe des connexions BI vers Power BI et des outils similaires.

Ce que cela apporte : une plus belle présentation, des graphiques, des courbes de tendance, un tableau de bord pour la direction.

Ce que cela n'apporte pas : l'actualité. Un outil de BI posé sur Exact rend votre grand livre plus présentable, mais n'ajoute aucune information qui ne s'y trouve pas. La demi-mois de frais de personnel qui manque, manque aussi dans Power BI — mais cette fois dans un graphique soigné.

C'est le malentendu le plus important : un outil de BI est une couche de présentation, pas une source de données. Si votre source a trois semaines de retard, votre tableau de bord aussi.

Ce qui marche vraiment : combiner plusieurs sources

L'information qui manque dans votre grand livre existe bel et bien — mais ailleurs :

Concrètement, cela signifie : le chiffre d'affaires arrive en direct de votre système de caisse, les frais de personnel se constituent chaque jour à partir de votre planning aux taux horaires connus, et dès que l'écriture réelle atterrit dans Exact, elle remplace l'estimation.

Vous obtenez ainsi aujourd'hui une P&L juste à quelques pour cent près — et en fin de mois une qui se réconcilie exactement avec votre grand livre.

Ce qu'il faut savoir sur la connexion

Si vous vous lancez, faites attention à :

Lecture seule. Un tableau de bord de pilotage n'a pas besoin de droits d'écriture dans votre comptabilité. Si un fournisseur les demande, demandez pourquoi.

Limites d'API. Exact Online applique une limite sur le nombre d'appels API par jour. Une connexion bien construite fonctionne de manière incrémentale — en ne récupérant que les modifications — plutôt que tout à chaque fois.

Centres de coûts et dimensions. Si vous voulez piloter par site ou par service, votre comptabilité doit le prendre en charge. Les centres de coûts qui ne sont pas remplis de façon cohérente sont la raison la plus fréquente pour laquelle une ventilation ne fonctionne pas. C'est généralement là le vrai travail, pas la technique.

Plusieurs comptabilités. Si vous travaillez avec plusieurs sociétés ou entités dans Exact, vérifiez que la consolidation est prise en charge — sinon vous obtiendrez des tableaux de bord isolés au lieu d'une seule image de l'entreprise.

Réconciliation. Demandez comment l'estimation d'aujourd'hui se rapporte au chiffre définitif plus tard. Un tableau de bord qui s'écarte structurellement de vos comptes annuels sans explication est un tableau de bord auquel personne ne fera confiance.

Pour conclure

Exact Online fait exactement ce pour quoi il a été conçu : tenir une comptabilité équilibrée et vérifiable. C'est précieux et vous ne voudriez pas qu'il en soit autrement.

Mais votre grand livre est une archive, pas un radar. Pour piloter, il vous faut quelque chose qui combine les systèmes où le travail se fait avec la vérité financière issue d'Exact.

Quanto è davvero in tempo reale Exact Online? Una spiegazione onesta di ciò che il tuo libro mastro sa e non sa, perché il tuo P&L è sempre in ritardo e cosa puoi farci.

"Usiamo Exact Online, quindi i nostri numeri sono aggiornati."

Vero a metà. Exact Online è un ottimo pacchetto di contabilità e i dati vi sono registrati in modo ordinato. Ma tra "i dati sono lì dentro" e "oggi so come stiamo andando" c'è un divario più grande di quanto la maggior parte delle persone pensi.

Questo articolo spiega dove si trova quel divario, perché esiste e cosa puoi farci.

Cosa Exact Online sa davvero in tempo reale

Non appena qualcosa viene registrato, è immediatamente disponibile. In concreto:

  • Le fatture di vendita che hai creato tu stesso — immediatamente
  • I movimenti bancari — con un giorno di ritardo, a seconda del tuo collegamento bancario
  • Le fatture d'acquisto che sono state inserite o scansionate — dal momento della registrazione
  • I saldi del libro mastro — aggiornati all'istante dopo ogni registrazione

L'API di Exact Online è solida ed espone tutto questo. Tecnicamente, non c'è nulla che non vada.

Dove va storto: registrato non è lo stesso che accaduto

Il cuore del problema: un pacchetto di contabilità sa di qualcosa solo una volta che è stato registrato, non quando è accaduto.

Per alcune voci quella differenza è piccola. Per le voci su cui effettivamente piloti, è grande:

I ricavi da un sistema di cassa o di vendita. Venduto oggi, inserito domani o la settimana prossima come totale giornaliero o fattura aggregata. Il tuo libro mastro è in ritardo di giorni o settimane rispetto ai tuoi ricavi effettivi.

I costi del personale. Questa è la voce più importante. La scrittura contabile delle buste paga di solito entra una volta al mese, a posteriori. A metà mese il tuo libro mastro non sa quasi nulla della tua voce di costo più grande — mentre la tua registrazione delle ore o il tuo turnario lo sanno già da un pezzo.

Le fatture d'acquisto. La merce è stata consegnata, la fattura è ancora nella cassetta della posta o nel flusso di approvazione. I tuoi costi sono stati sostenuti, la tua contabilità non li conosce ancora.

I ratei e i risconti. Tredicesima, accantonamenti, ammortamenti — spesso solo alla chiusura.

Il risultato: se guardi il tuo P&L in Exact a metà mese, non vedi ancora gran parte dei tuoi ricavi e quasi nulla dei tuoi costi del personale. Non è una posizione intermedia, è un'immagine distorta. Spesso ancora più pericolosa di nessuna immagine, perché sembra più redditizia di quanto sia.

Perché non puoi risolvere questo dentro Exact

Il riflesso: registrare più spesso. Inserire i totali giornalieri ogni giorno, le scritture delle buste paga ogni settimana, elaborare le fatture d'acquisto più velocemente.

Questo aiuta, ma:

  • È molto più lavoro, ogni settimana, per sempre
  • Non risolve i costi del personale — la tua amministrazione delle buste paga gira semplicemente su base mensile
  • Riempie il tuo libro mastro di scritture intermedie che poi dovrai correggere in seguito
  • Il tuo commercialista non ne sarà contento

Più importante ancora: il problema non è che Exact faccia qualcosa di sbagliato. Un pacchetto di contabilità deve essere un libro mastro, non una dashboard di pilotaggio. È progettato per essere finanziariamente corretto e per soddisfare i requisiti di rendicontazione — non per dirti questo pomeriggio come sta andando la settimana. Questi due obiettivi non sono la stessa cosa e richiedono una progettazione diversa.

Cosa fanno e non fanno i report standard

Exact Online dispone di funzionalità di reportistica, ed esistono connessioni BI verso Power BI e strumenti simili.

Cosa offre questo: una presentazione più gradevole, grafici, linee di tendenza, una dashboard per la direzione.

Cosa non offre: l'attualità. Uno strumento di BI sopra Exact fa apparire meglio il tuo libro mastro, ma non aggiunge alcuna informazione che non vi sia dentro. Il mezzo mese di costi del personale che manca, manca anche in Power BI — solo che questa volta in un grafico elegante.

Questo è l'equivoco più importante: uno strumento di BI è uno strato di presentazione, non una fonte di dati. Se la tua fonte è in ritardo di tre settimane, lo è anche la tua dashboard.

Cosa funziona davvero: combinare più fonti

L'informazione che manca dal tuo libro mastro esiste eccome — solo altrove:

Un P&L in tempo reale combina quelle fonti: il libro mastro di Exact come spina dorsale finanziaria e fonte di verità per tutto ciò che è definitivo, integrato con dati operativi per tutto ciò che non è ancora registrato.

In concreto, questo significa: i ricavi arrivano in tempo reale dal tuo sistema di cassa, i costi del personale si accumulano quotidianamente a partire dal tuo turnario secondo tariffe orarie note, e non appena la registrazione effettiva atterra in Exact, questa sostituisce la stima.

In questo modo ottieni oggi un P&L che è corretto con un margine di pochi punti percentuali — e a fine mese uno che si riconcilia esattamente con il tuo libro mastro.

Cosa devi sapere sulla connessione

Se ti ci metti, fai attenzione a:

Sola lettura. Una dashboard di pilotaggio non ha bisogno di permessi di scrittura nella tua contabilità. Se un fornitore li chiede, chiedi perché.

Limiti dell'API. Exact Online applica un limite sul numero di chiamate API al giorno. Una connessione ben costruita lavora in modo incrementale — recuperando solo le modifiche — invece di tutto ogni volta.

Centri di costo e dimensioni. Se vuoi pilotare per sede o reparto, la tua amministrazione deve supportarlo. I centri di costo che non vengono compilati in modo coerente sono il motivo più frequente per cui una suddivisione non funziona. Questo di solito è il vero lavoro, non la tecnica.

Più amministrazioni. Se lavori con più società o entità in Exact, verifica se il consolidamento è supportato — altrimenti otterrai dashboard separate invece di un'unica immagine dell'azienda.

Riconciliazione. Chiedi come si rapporta la stima di oggi alla cifra definitiva successiva. Una dashboard che si discosta strutturalmente dal tuo bilancio annuale senza spiegazione è una dashboard di cui nessuno si fiderà.

Per concludere

Exact Online fa esattamente ciò per cui è stato creato: tenere una contabilità quadrata e verificabile. Questo è prezioso e non lo vorresti diverso.

Ma il tuo libro mastro è un archivio, non un radar. Per pilotare hai bisogno di qualcosa che combini i sistemi in cui il lavoro accade con la verità finanziaria di Exact.
